How to read a software invoice, line by line
Abdul Wahed Nur · · 1 min read
In short: Every part of an invoice answers one question: what, how much, by when, and what is still due.
An invoice looks busy the first time. Each part answers one question.
- Invoice number (for example
INV-2026-0001): the reference to quote in any message about this bill. - Issue date and due date: when it was sent and when payment is expected.
- Bill to: the client name on the record. Tell me if it needs correcting, since it is used for your accounts.
- Lines: each piece of work with quantity, unit price and amount.
- Discount: shown as its own line, never mixed into prices.
- Total: the full amount in one currency.
- Installments: how the total is split, with a due date for each.
- Paid and balance: what has been received so far and what is still due.
- Payment instructions: how to pay and what to quote so the payment is matched correctly.
Status words
- Draft: still being prepared; not yet sent.
- Issued: final. Lines can no longer be changed.
- Partly paid: some money is received, a balance remains.
- Paid: the balance is zero.
- Overdue: an installment passed its due date without payment.
If something looks wrong
Tell me the invoice number and the line. Because issued invoices are frozen, a correction is made openly, not by quietly editing numbers.
